Terms of Service

These terms explain how ShiftSync is provided, what subscribers can expect from the service, and the responsibilities that apply when using calendar feeds, shift summaries, or connected Google, Microsoft, and CalDAV calendars.

1. Overview

These Terms of Service govern your access to and use of ShiftSync, a schedule-to-calendar sync service operated by Affolder Creative. These terms are provided for service users and are not legal advice.

By subscribing to, accessing, or using ShiftSync, you agree to these terms. If you do not agree, do not use the service.

2. The service

ShiftSync helps eligible subscribers sync ESOSuite fire department schedule information to private and, when enabled, shareable calendar feeds. The service may also sync app-managed events to subscriber-connected Google Calendar, Microsoft Outlook or Microsoft 365 calendars, and CalDAV calendars, and may provide authenticated JSON API output or private schedule summaries derived from retained schedule data.

ShiftSync is independently operated by Affolder Creative. ShiftSync is not affiliated with, endorsed by, sponsored by, approved by, or operated by Whitestown Fire Department, the Town of Whitestown, ESO, ESOSuite, or any other fire department, municipality, employer, scheduling platform, or calendar provider unless expressly stated in a separate written agreement. Names of departments, municipalities, platforms, and providers are used only to identify source systems, schedule context, or calendar destinations.

Third-party calendar providers and ESOSuite may change their services, APIs, access rules, or availability at any time.

3. Eligibility and subscriptions

You may use ShiftSync only if you can form a binding agreement and have authorization to access the schedule information you connect or request through the service.

  • Subscriptions are intended for individual schedule visibility unless a separate written agreement says otherwise.
  • You are responsible for keeping your email, billing, and account information accurate.
  • Access may require an active or grace-period subscription and a successful schedule match.

4. Calendar feed and sync behavior

Calendar data is generated from available roster and schedule information. The service is meant to improve visibility and convenience, but it is not a dispatch, payroll, staffing, emergency response, accounting, or official recordkeeping system. Summary and trade-balance statistics are informational and depend on retained source schedule rows.

You choose whether to use ShiftSync and which private feed option, shareable feed, or connected calendar destination to use. Calendar output may be delayed, incomplete, duplicated, incorrectly parsed, incorrectly synced, or out of date.

ShiftSync is not a real-time schedule system. In the default watch configuration, ShiftSync checks for near-term schedule changes about every 15 minutes, and calendar feeds, connected calendar events, API output, summaries, and other service output may reflect source schedule data that is up to 15 minutes old before any additional delays. Additional delays may occur because of sync processing, debounce timing, calendar-provider refresh behavior, service errors, network conditions, or third-party availability. You are responsible for verifying official department systems and communications before relying on schedule changes.

  • Private feed options are for your own use and may include subscriber-specific schedule context, department dates, and private summary or statistics details when enabled.
  • A shareable feed, if enabled, can be viewed by anyone who has the link and does not include private-only year-end summary events.
  • Connected provider sync writes and updates app-managed calendar events in the calendar you select.
  • Calendar clients and providers control how often they refresh subscribed feeds or show synced events.

5. Your responsibilities

You are responsible for checking official department systems and communications before relying on schedule information. You should not rely solely on ShiftSync for attendance, staffing, emergency response, payroll, or compliance decisions. This includes verifying shift assignments, trades, Kelly days, relief and roster details, year-end summaries, trade-balance statistics, cancellations, overtime, and schedule changes.

  • Keep private feed URLs, sign-in links, and account access confidential.
  • Share calendar links only with people who should see the schedule information.
  • Promptly disconnect calendars or contact support if you believe access is incorrect or no longer authorized.

6. Billing, cancellation, and refunds

Paid subscriptions are billed through Stripe or another payment processor shown at checkout. Subscription pricing, billing interval, renewal terms, and taxes are presented before purchase.

You may manage billing or cancel through the billing portal when available. Cancellation stops future renewals but does not automatically refund past charges unless required by law or separately approved by Affolder Creative.

If you choose an annual subscription, the annual fee is charged up front for the full subscription year. Annual subscription payments are non-refundable once processed, including if you cancel before the end of the current annual term, except where refunds are required by law.

7. Connected calendar accounts

If you connect Google, Microsoft, or CalDAV, you authorize ShiftSync to access the calendar data needed to list calendars and create, update, or remove app-managed shift events in the calendar you select.

  • You can revoke provider access from the service account page or through the provider account settings.
  • The service is designed to manage only events it creates or marks as app-managed.
  • Provider tokens and CalDAV credentials are stored for continued syncing and protected using the service's configured security controls.

8. Acceptable use

You agree not to misuse ShiftSync or use it in a way that harms the service, other users, third-party systems, or schedule data you are not authorized to access.

  • Do not attempt to bypass access controls, rate limits, security features, or payment requirements.
  • Do not resell, redistribute, scrape, or bulk-export service output unless expressly authorized.
  • Do not use the service to upload, transmit, or store unlawful, harmful, or infringing material.

9. Availability and support

Affolder Creative aims to keep ShiftSync useful and available, but the service may be interrupted by maintenance, hosting issues, third-party provider changes, authentication failures, payment status, network problems, or changes to source schedule data.

10. Disclaimers

ShiftSync is provided "as is" and "as available." To the fullest extent permitted by law, Affolder Creative disclaims warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, uninterrupted operation, and error-free performance.

11. Limitation of liability

To the fullest extent permitted by law, Affolder Creative will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, goodwill, schedule accuracy, or business interruption arising from or related to ShiftSync.

This includes claims or losses related to incorrectly synced data, omitted or incorrect trade data, inaccurate summary or trade-balance statistics, lost or overwritten calendar or event data, missed shifts, late arrivals, staffing, payroll, accounting, or compliance consequences, or decisions made in reliance on ShiftSync output.

To the fullest extent permitted by law, Affolder Creative's total liability for claims related to the service will not exceed the amount you paid for ShiftSync during the three months before the event giving rise to the claim.

12. Termination

You may stop using the service at any time. Affolder Creative may suspend or terminate access if your subscription is inactive, your access cannot be matched or authorized, you violate these terms, continued operation creates risk, or the service is discontinued.

When access ends, private calendar URLs may be revoked, provider sync may stop, and app-managed calendar events may be removed where supported.

13. Changes to these terms

Affolder Creative may update these terms from time to time. The effective date at the top of this page shows when the current version took effect. Continued use of ShiftSync after an update means you accept the updated terms.
